Privacy Policy

1. Introduction

FluentAI (“we,” “us,” or “our”) is committed to protecting your privacy. This Privacy Policy outlines how we collect, use, disclose, and safeguard your information when you use our language learning platform, accessible via FluentAI’s website, the FluentAI browser extension for Chrome and Firefox, and mobile applications (“Service”). By using FluentAI, you agree to the terms outlined in this policy.

2. Information We Collect

We collect personal and usage information to provide you with the best experience on our platform.

  • Account Information: To access FluentAI, users create an account via Google or email-password login. We collect email addresses, names, and passwords. Passwords are stored only as a one-way hash.
  • Usage Data: We track how you interact with FluentAI, including pages visited, translations requested, bookmarks saved, and other engagement metrics to enhance our Service.
  • Browser Extension Data: On supported video sites (Netflix, YouTube, Prime Video, Disney+, HBO Max, Crunchyroll) the extension reads the subtitles, the video title, address and playback position to show dual subtitles and keep your watch history. When you ask for AI subtitles, it records the video's audio and sends it to us for transcription. On other web pages it reads only the text you select or the words on a page where you turn on page mode.
  • Learning Content: Words and phrases you save, with their audio clips and video frames, your study time, and your messages and voice recordings in the AI tutor.
  • Device Information: We may collect data about your device, including IP address, approximate location derived from the IP address, device type, operating system, browser, and language preference to ensure FluentAI functions optimally across devices.
  • Cookies and Similar Technologies: We use essential storage to run FluentAI and remember your preferences. On the website, we only use analytics cookies or similar analytics tools after you accept them in the cookie banner. The browser extension sends product usage events to PostHog only after you turn on “Share anonymous usage data” in its Privacy settings. That switch is off until you turn it on, as described in section 4.

3. How We Use Your Information

The information we collect is used to:

  • Provide and improve FluentAI services, ensuring a personalized language-learning experience.
  • Maintain and manage your account.
  • Enhance AI performance for contextual translations, pronunciation, and vocabulary tracking.
  • Offer support and respond to your inquiries.
  • Ensure the security and integrity of our platform.
  • Communicate updates, promotions, and relevant information (you may opt-out of marketing communications).

4. How We Share Your Information

We do not sell or rent your personal information, and we do not use it for advertising or for any purpose unrelated to FluentAI's language-learning features. We may share information under these conditions:

  • Service Providers: We work with third-party vendors to support our Service (e.g., hosting providers, analytics services). These partners only access information necessary to perform tasks on our behalf and are required to protect your information.
  • AI Providers: FluentAI's AI features send the content they work on to these providers, only to answer the request. When the providers change, we update this list and the effective date:
    • Google (Gemini): the AI tutor. When you use it, we send what you type or say, including voice recordings, the recent conversation, what the tutor remembers about you, your saved words, the videos you watched and your progress.
    • OpenRouter, which passes requests to Google's Gemini models: word lookups, translations and subtitle analysis, and sorting the feedback and support messages you send us. We send the text you look up or translate, with its surrounding sentence, and the message you sent.
    • Cartesia: text-to-speech. We send the text to read aloud.
    • Groq: speech-to-text for video audio. We send the audio of the video being transcribed.
    • AssemblyAI, Replicate and RapidAPI: transcription of video audio, and fetching the audio of YouTube videos for that transcription.
  • Translation Services: When you translate a word or sentence, the extension sends that text directly to DeepL, Google Translate or Dioco to get the translation.
  • Analytics and Error Reports: PostHog (EU servers) receives product usage events and, when you are signed in, your email address and name so the events link to your account. It also receives a record of each purchase and cancellation, under your account ID: the kind, the amount and currency, and the reason Stripe gives for a cancellation, never your card details or any comment you write. After you accept analytics cookies, PostHog also records your session on our marketing and sign-up pages, with form fields hidden. It does not record the signed-in app, and it stops recording when you sign in. A recording made before you sign up can be linked to the account you then create. The extension sends usage events only if you turn on “Share anonymous usage data” in its Privacy settings, under a random anonymous ID that we remove when you turn the switch off. If you turn it on, the extension also records its sign-in page, with what you type hidden. Sentry (EU servers) receives error reports, which carry your user ID (never your email or name) so we can fix problems on your account. If you turned on “Share anonymous usage data” in the extension and are not signed in, the report carries that random anonymous ID instead. We estimate your country and city from your IP address on our own servers, with the DB-IP IP to City Lite database (CC BY 4.0); your IP address is not sent to anyone for this.
  • Email and Support: Resend sends our emails. Feedback, bug reports and contact messages you send are delivered to our team through Discord.
  • Payments: Payments are processed by Stripe. Stripe receives your payment details; FluentAI does not store your card number.
  • Legal Compliance: We may disclose information if required by law or to protect the rights, safety, or property of FluentAI, its users, or the public.
  • Business Transactions: If FluentAI is involved in a merger, acquisition, or sale of assets, your information may be transferred as part of the transaction, subject to this policy’s terms.

5. Data Storage, Retention and Security

  • Where: Your data is stored on our servers in the European Union, hosted by Railway. Settings, sign-in tokens and caches are also stored in your browser's local extension storage.
  • How long: We keep your account data and learning content while your account exists. Sign-in sessions expire after 30 days. Logs of AI requests are deleted after 90 days.
  • Deletion: When you delete your account, we delete at once your saved words and lists, watch and reading history, AI tutor conversations and memory, uploads, settings and devices, together with your name, email address, sign-in sessions and linked logins. Stored audio clips, video frames and uploaded files leave our storage within two days. Posts and comments you wrote on the public feedback board stay, without your name. We keep payment, credit and referral records, because accounting and tax rules require them.
  • Security: Data travels over encrypted HTTPS connections, and sign-in tokens from Google are encrypted in our database. We implement industry-standard measures to protect your information from unauthorized access and misuse. Despite our efforts, no security method is infallible, and we cannot guarantee complete security.

6. Your Privacy Choices

  • Access and Correction: You can access and update your personal information through your account settings.
  • Data Deletion: You can delete your account and its content in your account settings on the website, as described in section 5. You can also ask us at support@fluentai.pro, and we act within 30 days.
  • Extension usage data: In the extension, open Settings, then Privacy, to turn “Share anonymous usage data” on or off. It is off until you turn it on.
  • Cookies: You can accept or reject non-essential analytics cookies in the cookie banner. You can also clear or block cookies in your browser settings, though this may impact your experience with FluentAI.

7. Public Leaderboard

FluentAI features a public leaderboard that displays user progress based on vocabulary mastery scores. By default, all users with scored activity are visible on the leaderboard using a display name derived from their profile (never their email address). You may hide yourself from the leaderboard at any time by clicking "Hide me" on the leaderboard page. Hidden users are excluded from the public ranking entirely. You can rejoin the leaderboard at any time.

8. Children's Privacy

FluentAI does not knowingly collect information from children under the age of 13. If we become aware that we have inadvertently collected such information, we will promptly delete it.

9. Changes to This Privacy Policy

We may update this Privacy Policy to reflect changes in our practices or legal requirements. Significant updates will be communicated via email or posted on our platform.
